Let Patients Book on WhatsApp and the System Fill the Calendar
A WhatsApp Business API flow is on our roadmap: it offers open slots, sends two reminders and opens a video consultation. It is meant to help you cut the no-show rate. This flow is not in the panel today.
The booking flow is not in the panel today; it is on our roadmap. In it, a patient picks an open slot on WhatsApp, gets two reminders and joins a video call. What is ready today: requests from WhatsApp, Instagram DM and calls land in one inbox. You see who is handling which patient.
In the planned flow, a patient types "appointment", sees the open slots and picks one. You stop keeping notes by hand. The system will refill a slot that opens up and send the reminders itself. It will create the video call link for remote visits. What is ready today: requests from WhatsApp, Instagram DM and calls sit in one inbox. You see who wrote what to which patient and which request is still open.

Bookings will come in and reminders will go out without your effort
In the planned flow the patient picks a time on WhatsApp and it lands in the calendar. Reminders go out 24 hours and 1 hour before. This is how the flow we designed looks:

Booking in a single chat over the WhatsApp Business API
In the planned flow, the conversation will move on its own once the patient types "appointment". It will pick the specialist, show the open hours and reserve the slot the patient chooses. The system will catch a double booking, an out-of-hours slot or a busy doctor. On confirmation, the patient will get an ICS file and a link to add it to Google or Outlook calendar.
- One-word request to confirmed booking, without a break
- ICS file and one-tap add to Google or Outlook calendar
- Location, preparation notes and extra documents will be attached to the message
A reminder chain that reduces no-shows
In the planned flow, a reminder will reach the patient one day and one hour before the appointment. When the patient says "cancel", that hour will open up at once and be offered to the first person waiting. When a patient does not show up, a flow that offers a new time will take over.
- Reminders will go out on their own one day and one hour before
- An hour freed by a cancellation will be offered straight to the waiting list
- A follow-up flow will offer a new time to a patient who did not show up

"Reminder: your appointment with Dr. Ayşe is tomorrow at 14:00. Location: 📍 Beşiktaş Clinic."
"Your appointment is in 1 hour. Are you on your way?" → Customer: "Yes, on my way"

Several doctors, one smart calendar
In the planned calendar you will add as many doctors or specialists as you need. Each one's specialty, working hours and days off will live in their own calendar. The patient will say which specialty they want, and the system will suggest a matching doctor and time. Clashing hours, doctors on leave and out-of-hours requests will be filtered out on their own.
- Several doctors will be defined and matched by specialty
- Working hours, leave and holidays will show in the calendar automatically
- Appointment length (15/30/45/60 min) and buffer time between visits are planned
Online consultation, linked to a video call
In the planned flow, a remote appointment will open a video call link on its own. The link will reach the patient on WhatsApp and sit inside the calendar invite. Aesthetic clinics will be able to run consultations for patients abroad, follow-up visits and pre-procedure assessments this way.
- A video call link will be created for the visit on its own
- You will be able to connect your own video call service
- A step to request before and after photos (for aesthetics)

Cut no-shows, keep the calendar full
WhatsApp booking, automatic reminders and online consultation are on our roadmap. They are not in the panel today. Today your patient requests land in one inbox and you send reminders from there by hand. In a 15-minute call we show you both today's setup and the plan.
