The customer card: contact details, past conversations and notes in one place
When a customer writes a second time, nobody should ask "who was this?". The customer card to the right of the conversation keeps everything about that person together: contact details, tags, the fields you added, notes and past conversations. Whether they write on WhatsApp or Instagram, the card is the same.
With a conversation open, the card on the right shows the customer's name and contact details, tags, custom fields and history; if the card is closed, open it with "Open Profile". Change details with "Edit", add a note with "Note". The same person's conversations from different channels merge into one card. "Contacts" in the left menu lists all records.
What you provide
- A short rule for what goes on the card (name, preference, source)
- The habit of writing noteworthy information to the card at the end of a conversation
- A decision not to collect unnecessary personal data
What Chatinbox does
- Defines custom fields with you to fit your business (clinic: treatment type; e-commerce: order source)
- Checks during onboarding that records from channels match the right person
- Imports your existing list with you if you have one
- The sections of the card
- Updating details and adding notes
- What custom fields are for
- The Contacts list
Step by step
Open the card
With a conversation open, the customer card sits on the right. If you closed it to save space, bring it back with the "Open Profile" button in the header. On mobile the same button opens the card full screen.
Read top to bottom
Profile — name, phone/account, channel · tags — tags and filters · custom fields — the details you defined · customer history — today's and earlier conversations, handoffs and notes on one timeline.
Edit, add a note
Update name and fields with "Edit"; write a note tied to the person with "Note". For a note tied to the conversation use an internal note; a card note travels with the person, an internal note with the conversation.
We define the fields togetherSearch from the Contacts list
"Contacts" in the left menu lists all records; search by name or phone and open the card from here too. A person can be found without a conversation.
Custom fields: what to write
Examples
- Clinic: treatment of interest · preferred language · how they heard of you
- E-commerce: size/preference · order source · return history yes/no
- Shared: customer type (new/repeat) · latest quote
Don't write
- A field that does the same job as a tag — one is enough
- Information that changes from conversation to conversation — that goes in an internal note
- Unnecessary personal data (ID number, health details) — a compliance burden with no benefit
- 15 fields nobody will fill — 3-5 fields get filled
Let's set up the customer card for your business together
In a 15 minute call we work out which 3-5 fields you need and define the card with you.
Card sections and button names in the panel can change. This page was checked against the interface recording on 18 August 2026.
