Answer repeated customer questions in seconds with saved replies
Price, address, opening hours, shipping — the same 5-10 questions arrive every day. A saved reply brings pre-written text into the reply box with one click. The agent edits it if needed and sends it themselves; it does not replace a bot.
Click the lightning icon by the reply box, pick the matching saved reply from the list; the text lands in the reply box. Change a word for this customer or leave it as it is, then send. The sender is always you; a saved reply never goes out on its own.
What you provide
- The 5-10 questions that repeat every day
- Correct, current answers to them
- A heads-up when an answer changes (price, hours)
What Chatinbox does
- Prepares the first set of saved replies with you
- Shows the team how to use the list
- Updates an outdated reply together with you
- Three steps: open, pick, send
- When to edit and when to send as is
- Which questions suit a saved reply
- What it does and does not guarantee
Step by step
Click the lightning icon
With a conversation open, click the lightning (bolt) icon next to the reply box. The "Saved Replies" list opens; the saved answers appear with their titles.
Pick the matching reply
Click the title that answers the question. The full text goes into the reply box. Nothing has been sent yet; the box is in your hands.
Text lands in the box, it does not go outEdit if needed
Change the customer's name, the date or one detail. If the question is exactly the same, leave it untouched. The last pair of eyes that catches a wrong answer is the agent.
Send
Press Send. The message goes out as a single outgoing bubble and the reply box clears. To send the same reply again you have to pick it again; it does not repeat on its own.
The agent is the senderWhich questions suit a saved reply?
Suitable
- Opening hours and address
- Price list and payment methods
- Shipping, delivery and return conditions
- Standard information texts such as pre-appointment preparation
- "One moment, let me check" type holding messages
Not suitable
- Personal offers and negotiation
- Replies to complaints — read and write each one
- Questions needing medical or legal opinion
- Information that changes often (campaign stock) — if you cannot keep it current, keep it off the list
What it does and does not guarantee
Does
- Everyone on the team gives the same answer to the same question
- A new agent sends the right text from day one
- Fewer typos and missing details
Does not guarantee
- Choosing the right reply — the choice and the final check are the agent's
- That the reply is current — when a price changes, you update the list
- Customer satisfaction — a fast wrong answer is a fast mistake
