Bulk messaging: to whom, with which template, and when
Bulk messaging is sending the same template message over WhatsApp to a customer list you choose. It is set up under "Projects" in the panel. Because you start the conversation, Meta's template and opt-in rules apply here.
Pick the target list (everyone, a tag or a segment), choose an approved template, fill the variables and preview, send now or schedule. It goes only to people who gave contact consent; the rest drop out of the list automatically. Results show as sent / delivered / read / replied / error.
What you provide
- Who it goes to: list, tag or segment
- The purpose of the message (announcement, campaign, information)
- Contact consent already collected from customers
What Chatinbox does
- Prepares the template in the right category and submits it
- Sets up the first send with you
- Reads the reason behind failed numbers
- Sending in five steps
- Which message type when
- Personalisation (name, date, service)
- The results screen and errors
Step by step
Choose the audience
You can send to the whole list, a tag or a segment. The narrower the selection, the higher the reply rate; "everyone" is the choice that generates the most complaints.
Choose the template
Only templates approved by Meta are listed. Marketing content must be in the marketing category; sending marketing under the utility category gets the template paused.
Meta approvesFill the variables, preview
Map placeholders such as name, date and service. In the preview, look at how the message renders for one sample customer; an empty variable breaks the message.
Set the time
Send now or pick a later day and time. Working hours suit both getting replies and letting the team respond.
Watch the results
Sent, delivered, read, replied and error counts update live. With a customer who replies, the conversation continues in the normal inbox; the 24-hour window is now open.
Chatinbox reads the errorsWhich message type when
Good use
- Announcement — new branch, new service, change of hours
- Information — holiday hours, closures
- Campaign — discount, seasonal offer (marketing category, opted-in list)
- Re-engagement — one question to a customer who has not written for a long time
Risky use
- Several campaigns to the same person in a short time — Meta can stop delivery
- Marketing to a list without consent — quality rating drops, template gets paused
- A message with an empty variable — looks broken
- A very large list at once — the daily limit is exceeded, the rest fail
The five numbers on the results screen
What they mean
- Sent — passed to Meta
- Delivered — reached the customer's phone
- Read — the customer opened it (not shown if read receipts are off)
- Replied — the customer wrote back
If there are errors
- Number not on WhatsApp or wrong
- Daily limit or rate limit exceeded
- Template paused or not approved
- Details and codes: messages not sending checklist
